We are seeking a highly organized and proactive Office Assistant / Administrative Assistant to join our team and support our daily office operations.

Position: Administrative Assistant

Location: Houston, TX

Job Description:
The Administrative Assistant will play a vital role in ensuring the smooth operation of our office. This position requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The successful candidate will provide administrative support to various departments, manage office communications, and assist with daily office activities.


Key Responsibilities:

  • Answer and direct phone calls, emails, and other inquiries to the appropriate departments.
  • Maintain and organize office files, documents, and records.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Assist with the preparation of reports, presentations, and correspondence.
  • Handle incoming and outgoing mail and packages.
  • Maintain office supplies inventory and place orders when necessary.
  • Greet visitors and provide assistance as needed.
  • Support the HR department with onboarding new employees and maintaining employee records.
  • Assist with basic bookkeeping tasks and expense reports.
  • Perform other administrative duties as assigned.

Requirements:

  • High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.
  • Proven experience as an office assistant, administrative assistant, or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented and problem-solving attitude.
  • Friendly and professional demeanor.
  • Bilingual Spanish speaking preferred.
